Vio field notes
One-time or monthly contractor CRM: what will you pay?
Compare one-time and monthly contractor CRM costs over the same period. Separate software, support, hosting, AI and extra logins before choosing.
A one-time contractor CRM purchase and a monthly subscription should be compared over the same period, with the same users and services included. Start with software cost, then add hosting, support, extra logins, AI renewals and the work needed to move your records. A lower headline price does not establish the lower total cost.
For Vio, the published software packages are Office at $2,000, Crew at $2,500 and Complete at $3,000. Complete includes AI for one year, renewing yearly. Those figures are a starting point for a written quote, rather than a promise that every operating cost is covered forever.
What are you paying to keep using?
Separate three things that sales pages sometimes combine: access to the software, the services that keep it running, and the help you receive when something changes. A subscription can bundle several of these. A one-time purchase can separate them. Neither payment structure tells you the quality of the workflow or the exact rights in the agreement.
Ask what happens if you stop buying an annual service. Does your existing software remain available? Which updates stop? What happens to hosted access, support and any AI feature? Get the answers in the agreement. Paying once for software does not automatically mean owning its source code, receiving lifetime maintenance or controlling the hosting account yourself.
Make a comparison with the same boundaries
Choose a period you can reasonably plan for, such as three years. Write down the number of office users, the outside participants who need portal access and the workflows you expect the system to handle. Include existing tools you may still need, rather than assuming the CRM replaces every subscription.
- Software purchase or subscription for that period.
- Extra user or login charges on both sides.
- Hosting and any required ongoing service.
- Support and updates you expect to purchase.
- AI access and its renewal terms.
- Migration, setup, training and any quoted custom work.
If a cost is unknown, mark it unknown. Do not turn a missing number into zero. The comparison becomes useful when the unknown items are resolved, especially if one option looks dramatically cheaper before support or hosting is included.
A worked example using fictional subscription costs
Imagine a contractor currently pays $250 a month for a software license. Over three years, that license costs $250 × 12 × 3 = $9,000. Vio Crew's one-time software price is $2,500. The difference between those two license figures is $6,500.
That is a license-cost difference, not a verified saving. The example does not include hosting, Care Plan, extra logins, migration differences, taxes or other services. It is not based on an actual Vio customer's bill and does not identify a competitor's current price. Replace the fictional monthly amount with your own statement and add the services you need on both sides.
At $50 a month, the same three-year license comparison is $1,800 against $2,500. The one-time purchase is $700 higher on that narrow measure. A useful calculator should show that outcome too, rather than implying that buying once is always cheaper.
Which Vio costs can you list today?
Vio's package page lists Office at $2,000 once, Crew at $2,500 once and Complete at $3,000 with one year of AI. Crew adds the client and subcontractor portals. Complete includes Crew's package and adds the first year of AI.
The Care Plan is $990 a year for support and all updates. Extra logins are $50 each. Vio hosts buyer companies; ask Ray for current hosting terms and the current AI renewal terms. Leave those unquoted costs open in your worksheet until you have the agreement. Do not read “no monthly software license fee” as “no annual services”.
Check the workflow before the price wins
A cheaper system can be an expensive choice if it leaves the owner doing the same duplicate entry. Choose one ordinary example from your business: a new lead, an estimate, a booked job, an invoice and a payment. Ask each vendor to walk through that sequence rather than showing only a polished dashboard.
Check estimate follow-up if quotes go quiet. Check job cost tracking if collected cash and project costs are scattered. If you work with clients and subcontractors, test their portal views. Confirm exactly which people need paid logins and which package provides their access.
What questions belong in the written quote?
Ask what is included at setup, what renews, what happens if you do not renew and how you retrieve your records. Ask who handles hosting, backups, account recovery and support. Confirm any migration limit and the treatment of attachments, historical notes and financial records. A clear answer is more valuable than a vague assurance that everything is included.
Also ask how security has been checked for the setup you will receive. A feature list is not evidence that company separation or permissions have been tested. With Vio, some security checks are still being completed; ask Ray which controls are verified before signing.
Is a one-time CRM always cheaper?
No. It depends on your comparison period, user count, services and actual agreement. A low monthly bill may cost less over a short period. A one-time purchase may compare better over a longer period, but only after you include the relevant ongoing costs.
Does Vio Complete include AI forever?
No. Complete includes AI for one year, and AI renews yearly. Ask for the current renewal terms. The software purchase and the AI service are different parts of the offer.
Does “pay once” mean I can self-host Vio?
Do not assume that. Vio's current buyer model uses Vio-managed hosting. Ask Ray to confirm your hosting arrangement and the rights in your agreement. The payment schedule alone does not grant source-code ownership or self-hosting rights.
What should I bring to a demo?
Bring your current software bill, a list of people needing access and one redacted workflow that is difficult today. Book a demo or email info@withvio.com and ask for Ray. Compare a complete quote after seeing the work, rather than choosing from the headline alone.
