Privacy policy

How Vio and withvio.com collect, use and protect information, including Gmail and Outlook connections, lead emails and calendar links.

Last updated: November 6, 2026. This policy covers the withvio.com website and the Vio CRM app that contractor companies use. "Vio", "we" and "us" mean the seller of Vio. Questions go to info@withvio.com.

What we collect on this website

  • Demo requests: the name, company, email, phone and message you type in the demo form. We use them only to answer you.
  • Free tools: the estimate maker and calculators work in your browser. Your work lines, prices and client details stay on your device and are not sent to us.
  • Tool updates list: only if you tick the box, we keep your business name, phone and email to send occasional new free tools and templates. Reply "stop" or email us to be removed.
  • We do not use advertising trackers and we do not sell or rent any information.

What the Vio app stores

A contractor company that uses Vio keeps its own business records in it: clients, leads, estimates, jobs, invoices, payments, expenses, photos and notes. That company controls those records. We store them for the company on Cloudflare, keep each company's records walled off from every other company, and use them only to run the app for that company and to give the support it asks for.

Gmail and Outlook connections

A Vio user can choose to connect a Gmail or Outlook account so Vio can send the emails the user asks it to send, such as an estimate, an invoice, a payment reminder or a portal link.

  • Google: Vio asks only for permission to send email (gmail.send) and to see the connected email address (userinfo.email). Vio cannot read, search or delete the mailbox.
  • Microsoft: Vio asks only for Mail.Send, User.Read and offline access, for the same purpose.
  • The connection key is stored encrypted and is used only when the user sends an email from Vio. The user can disconnect at any time in Settings, or remove Vio's access in their Google or Microsoft account.

Vio's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, we do not let people read it except with the user's permission, for security, or when the law requires it, and we do not use it to train AI models.

Lead emails

Each company can get a private lead address. Emails that the company sends or forwards to that address are turned into a client and lead inside that company's Vio. We do not use them for anything else.

Calendar link

The calendar link is private and read-only. It shows the company's own job schedule in the calendar app the user picks. Anyone who has the link can see that schedule, so treat it like a password. A new link can be made in Settings, which turns the old one off.

AI

Vio Complete can send the text a user types in the chat, and the records needed to answer it, to Anthropic's Claude to produce the answer. Only the company's own records are sent, and only when a user asks.

Keeping and deleting

We keep a company's records while it uses Vio and keep backups for safety. A company can export its records, and can ask us to delete them by emailing info@withvio.com. Demo requests are deleted when they are no longer needed to answer you.
